- Property and site data — photographs, uploaded files, roof condition notes, site access details, drainage or building constraints and records needed to plan or complete works.
- Contract, payment and guarantee data — accepted quotations, job specifications, invoices, payment status, standard guarantee records, optional paid insurance-backed guarantee records, warranty records, aftercare requests and dispute or complaint correspondence.
- Website and security data — IP address, browser or device information, analytics events, anti-spam/security check results and server logs where these tools are enabled.
We do not intentionally collect special category data and do not knowingly collect data from children under 13. Please avoid sending information that is not needed for your roofing enquiry or job.
3. How we use your data and the legal basis
- Responding to enquiries — legitimate interests and, where you ask for a quote or survey, steps before entering into a contract.
- Providing quotes, surveys and specifications — pre-contractual steps at your request and our legitimate interests in preparing accurate, scoped advice.
- Carrying out agreed works — performance of a contract, including site access, scheduling, subcontractor coordination and customer communications.
- Administering service terms — performance of a contract and legitimate interests, including quotation validity, variations, payments, standard guarantees, optional paid insurance-backed guarantees, warranties, retention of title, aftercare and disputes.
- Invoices, VAT and accounting — legal obligations and performance of a contract.
- Payment recovery, insurance matters and legal claims — legitimate interests and, where necessary, establishing, exercising or defending legal claims.
- Website security, fraud prevention and anti-spam checks — legitimate interests in protecting our website and enquiry forms.

Contact about an enquiry, quote, job, invoice or guarantee is not marketing consent; it is part of responding to your request or managing our services. We do not use your data for automated decision-making and we do not sell your data to third parties.
4. Providing your data
You do not have to provide personal data to browse the website. If you want a quote, survey, roofing work, invoice, guarantee, warranty support, optional paid insurance-backed guarantee or aftercare, we need enough contact, property and job information to respond, price, plan, carry out and administer the service. If you do not provide the information we reasonably need, we may be unable to quote, visit, complete the works, issue guarantees or deal with aftercare.
5. Who we share your data with
We may share data with our team, subcontractors and suppliers where needed to assess, quote or carry out your job; delivery providers where materials need to reach site; website hosting, email, security, analytics and form-processing providers; insurers, insurance-backed guarantee providers and warranty/manufacturer contacts where relevant; accountants, professional advisers, debt recovery agents or legal advisers; and regulators, courts, public authorities or law enforcement where required by law.
Some service providers, such as Google, Cloudflare, Resend or equivalent technology providers, may process data outside the United Kingdom. Where this happens, we expect appropriate safeguards to be used, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to EU standard contractual clauses, or another lawful transfer mechanism.
6. How long we keep your data
- Enquiries not leading to a job: up to 12 months from last contact.
- Quote, survey and job records: up to 7 years from completion or last meaningful contact, to meet accounting, tax, insurance and record-keeping requirements.
- Standard guarantee, optional paid insurance-backed guarantee, warranty, aftercare and dispute records: retained for the relevant guarantee/warranty period and for as long as reasonably needed to handle claims, complaints, unpaid accounts or legal disputes.
- Uploaded photographs and site records: retained with the enquiry or job record unless deletion is requested and legally permitted.
- Website security and analytics logs: retained for the period set by the relevant tool or hosting provider, unless a longer period is needed to investigate misuse, fraud or security issues.
7. Cookies, security checks and website tracking
Google Fonts are loaded from Google servers; Google may process your IP address as part of serving font files. See Google’s Privacy Policy for details. When Google Analytics is enabled on our site (via configuration on the server), Google may set first-party cookies for usage measurement; you can block or clear these in your browser.
The quote request form may include Cloudflare Turnstile or a similar security check to help prevent spam and abuse. Form submissions, uploaded photos and transactional emails may be processed by our email or form service providers, such as Resend or equivalent services, so that your enquiry can be delivered to us.
8. Your rights under UK GDPR
You have the right to access, correct, erase, restrict or object to processing of your personal data, and to data portability where applicable. To exercise any right, email enquiries@bristolcityroofing.co.uk. We will respond within one calendar month. You may also lodge a complaint with the Information Commissioner’s Office (ICO).
9. Security
We use password-protected accounts and limit data access to those who need it. Physical records are stored securely and disposed of confidentially. No electronic transmission is 100% secure — call us if you prefer not to send sensitive information by email.

Material changes will be noted at the top of this page with a revised date. Continued use of our services after an update constitutes acceptance of the revised policy.
